Structured documentation with CCMS

Professionals in the technical/commercial documentation field do not use Word, and often not even InDesign or similar. Rather, they use more advanced software tools to create content and, separately, to assemble and publish that content in multiple formats. These are the systems called CCMS. CCMS stands for Component Content Management System.

First, it is good to clarify what CCMS exactly means, especially when compared to the better-known acronym CMS. (Content Management System). CMS – with only one C or Content Management Systems, manage content at the document level to create, edit and especially publish material online, usually of a commercial or technical/commercial nature (marketing sites and portals, catalogs, blogs, e-commerce sites, but also knowledge databases). Instead, we want to go much deeper and explore CCMS: systems that help develop documentation.

CCMS: Component Content Management System

CCMSs are systems designed to create and manage content at a granular level throughout the entire process of creating, developing, and maintaining. More specifically, they allow you to:

  • Spezzare i documenti in moduli o componenti (da qui la “C” aggiuntiva nella definizione) da riutilizzare (single-source) per tutte le possibili pubblicazioni, evitando duplicazioni e inefficienze di sviluppo e successiva manutenzione.
  • A partire dalla base dati di moduli, creare documenti in diversi formati, come PDF, HTML5, eLearning (ad es. SCORM) e altri.
  • Gestire le versioni successive e le varianti di prodotto in modo controllato e ottimizzato, anche qui evitando duplicazioni inutili.
  • Esportare e poi reimportare i contenuti per la traduzione assistita (sistemi CAT) di ogni parte e versione necessaria.
  • Pubblicare i documenti finali su file locali, oppure piattaforme di rete (CRM) per realizzare portali di documentazione pubblici o aziendali, basi dati di conoscenza (knowledge base), canali di supporto tecnico e commerciale.

In fact, a CCMS enables this:

  • Creare e pubblicare agevolmente più documenti, anche su canali diversi, con contenuti differenziati solo in alcune parti. 
  • Gestire più prodotti o versioni diverse e personalizzate che condividono contenuti riutilizzabili in modo efficiente.
  • Organizzare procedure e norme interne da produrre, mantenere aggiornate e pubblicare con rapidità.
  • Assicurare coerenza, correttezza, qualità e longevità ai contenuti lungo l’evoluzione e differenziazioni dei prodotti.
  • Far collaborare senza difficoltà alla documentazione più team separati a livello locale o globale.
  • Gestire con efficienza la traduzione, tramite strumenti di traduzione assistita (CAT), specie a cavallo di più varianti e versioni di prodotto.
  • Sfruttare le crescenti capacità degli assistenti automatici in linea per coerenza e correttezza dell’intero set di documentazione.
  • Aprire i contenuti ben strutturati ai moderni strumenti basati sull’intelligenza artificiale (ad es. chatbot). 

Overcoming the limitations of Word and the scattered, document-by-document approach is a step even smaller organizations should consider.
