Project: Update and optimize technical manuals with cost reduction and openness to future development.
Client: Ayes srl
Industry: Development and manufacturing of chargers
Date: 2024
Description:
Through Ayes srl, an established management consultancy, Flowoza helped a dynamic and innovative company in the field of charging systems to optimize the structure and costs of its documentation system. The client used Adobe InDesign to create its technical manuals. Although InDesign offers powerful page layout capabilities, its complexity and associated costs made document management and updating difficult. In addition, editing content required specialized skills, which slowed the update process.
To address these challenges, Flowoza led the transition of the technical manuals from InDesign to Microsoft Word. This transition resulted in more agile, easily editable documents while maintaining a highly professional graphic presentation. At the same time, the structure and content of the manuals were reorganized and optimized to facilitate future migration to Component Content Management Systems (CCMS) and delivery via artificial intelligence (AI)/large language model (LLMs) virtual assistants.
Goals:
- Reduce the cost of managing, translating, and updating documents.
- Simplify the process of managing and updating technical manuals, reducing reliance on specialized expertise.
- Maintain and enhance the graphic presentation of documents to ensure they look professional and promote the company’s image.
- Reorganize and optimize content for future integration with CCMS systems and virtual assistants based on LLMs.
Methodology:
- Requirements analysis: Evaluate the organization’s needs for document management, frequent updates, and distribution.
- Document conversion: Transferred content from InDesign to Word while maintaining graphic quality and data integrity.
- Content optimization: Reorganized content to achieve modularity and consistency of topics and structure, facilitating text reuse and future migration to CCMS systems.
- Highly accurate translation powered by artificial intelligence: Efficient and innovative translation that ensures speed and linguistic consistency at scale.e.
- Staff training: Ongoing training and collaboration with the internal team on the effective use of Word for manual management and best practices for preparing content for future applications.
Achievements:
The client has benefited from more efficient management of its technical manuals, which can now be easily updated without the need for specialized knowledge of InDesign. The graphical quality of the manuals was maintained and improved, ensuring a highly professional look and feel. In addition, the content reorganization enabled efficient modularization for reuse and translation support, and laid the groundwork for future migration to CCMS systems, paving the way for the use of LLMs-based wizards for more interactive and intelligent use of documentation.
Conclusion:
Flowoza demonstrated its expertise and experience in guiding the client company through a strategic transition to improve the efficiency and quality of technical documentation. This project highlights the importance of adopting efficient, flexible and future-oriented solutions in technical content management, preparing for integration with more advanced technologies.
